REFUND POLICY

Refund Policy

This Refund Policy governs all fee-refund cases related to admission cancellation and caution-deposit settlement for all programs offered by the College. Refunds shall be processed strictly as per AICTE/UGC guidelines, affiliating University norms, and internal procedures of the College. The policy promotes transparency, fairness, and accountability, ensuring that students and guardians clearly understand refundable components, deduction criteria, and timelines.

1. Categories of Refund

1.1 Refund for Admission Cancellation within the AICTE/UGC Stipulated Timeline (Case 1)

If a student cancels admission within the refund window specified in the AICTE/UGC Academic Calendar of the admission year, the following deductions will apply:

Deductibles:

  • Processing Fee: INR 1,000/-
  • Dress Kit (if already made by the vendor)
  • Prospectus Fee
  • Mentoring Book Fee

Refund:

All remaining fees paid (except the deductibles listed above) will be refunded. No proportionate deduction applies in this period.

Additional Clarification:

Many national guidelines encourage 100% or near-full refunds during this period, except for minimal processing fees. The College adheres to the same principle to ensure fairness and compliance.

1.2 Refund for Admission Cancellation after AICTE/UGC Timeline but before University / Council Registration, and only if a Replacement Candidate Takes Admission (Case 2)

If cancellation is requested after the AICTE/UGC cut-off date but before University/Council registration is completed, and only if another eligible student takes the vacated seat, the following deductions apply:

Deductibles:

  • Processing Fee: INR 1,000/-
  • Dress Kit (if already made by the vendor)
  • Prospectus Fee
  • Mentoring Book Fee
  • Proportionate Fee Deduction from Tuition Fee and all other applicable fees

Refund:

Remaining fee after the above deductions will be refunded.

Additional Clarification:

The proportionate deduction reflects instructional, administrative, and infrastructural resources already deployed. This ensures that the College does not incur any uncompensated expenditure for the period during which the seat remained reserved.

1.3 Admission Cancellation with No Replacement Candidate (Case 3a) OR Caution Deposit Refund after Program Completion (Case 3b)

Case 3a — Admission Cancellation with No Replacement Candidate:

  • Only the Caution Deposit will be refunded.
  • All other fees (admission, tuition, academic, and ancillary fees) are non-refundable.

Case 3b — Caution Deposit Refund After Program Completion:

  • Only the Caution Deposit will be refunded.
  • Refund will follow the Release Formalities notified annually for the Passing-Out Batch.

Additional Clarification:

The refund restrictions outlined in Case 3a align with standard financial protocols followed by Higher Education Institutions (HEIs) across India, wherein institutional funds already committed become non-recoverable once a seat has been permanently vacated.

2. Procedure for Admission Cancellation & Refund Application

Applicable for Case 1, Case 2, and Case 3a:

  • Submit a written application or email to the Registrar (registrar@bcrcp.org) stating the reason for cancellation.
  • Collect the No Dues Form from the College office.
  • Obtain signatures from all sections mentioned in the form (Library, Accounts, Labs, Hostel, etc.).
  • Return all issued library books and other issued items, if any.
  • Submit to Accounts Department:
    • Filled in No Dues Form
    • A Cancelled Cheque or first page of Bank Passbook displaying complete bank account particulars
    • Filled in Reimbursement Form
    • Money Receipt against admission
  • Collect Transfer-cum-Character Certificate and all original documents submitted during admission.

Procedure for Case 3b:

Follow the steps notified under “Release Formalities for the Passing-Out Batch,” including submission of No Dues, bank details, and departmental clearances.

3. Refund Guarantee Timeline

  • (a) For Case 1, Case 2, and Case 3a: Refund will be issued within 7 working days after completion of all formalities and verification of documents.
  • (b) For Case 3b: Refund will be issued within 90 days after completion of all formalities and verification of documents.

4. Non-Receipt or Delay in Refund

If the refund is not credited within 90 days, students are advised to formally notify:

5. General Conditions

  • Refunds only via NEFT/RTGS.
  • Incorrect bank details may delay refund.
  • Refund entitlement depends strictly on cancellation category and replacement availability.
  • College may withhold refund for pending dues or adjust dues against refundable amounts.
  • Decision of the Registrar/Principal in refund matters shall be final and binding.
